A new system for checking out fixed and mobile computer labs is being introduced across the district. Each building will be trained to use the new system.

This Computer Reservation Link will take you to the login page. Each teacher is identified by the school in which they work. Your username is your CMCSS district email address and your password is your email password.

Zone Managers

Your building has designated zone managers whose responsibilities include:
1) Scheduling. Ensure zone teachers understand and utilize computerized online scheduler provided by CMCSS Technology. The online scheduler will display a monthly calendar with days and class periods within the day represented. Teachers will enter their name into the class period slots they require. The scheduler will not accept reservations earlier than thirty (30) days in advance. If a teacher needs a lab and the zone the teacher is assigned to is already reserved, that teacher may coordinate with the zone manager of another zone for approval and then, if approved, enter a reservation in the other zone's schedule. Teachers/zone managers that house labs in their classroom will also schedule and document usage times for use in their classes. The scheduling program will measure and display statistics on monthly mobile lab availability, lab utilization, and teacher utilization. Your School and CMCSS will collect and analyze utilization data for justification of additional or realignment of technical resources.
2) Repairs. As part of the scheduling program an automated follow-up email will be sent to a teacher that submits a reservation for a lab. This email will inquire if any issues were noted by the teacher when using the lab. If a teacher has a lab computer that displays problems, they will note on the return email which computer (ex. A-01) and the briefest description of the problem (ex. Will not start up). The teacher will activate the email, after listing any problems, which will automatically go the technology team responsible for that school. NO work order will be required to be submitted by the teacher or zone manager. The technology team will perform any work order requirements or details. The team will either repair the computer on the spot or take the computer with them for repair after notification by the scheduling system. Technicians will place notification in the computer cart storage slot that the computer has been pulled for repair. This will keep the assigned zone manager and teachers informed on computers missing due to repair. The repaired computer will be returned by the technicians and placed in the proper cart slot.

End-of-day lab activities. Computer Carts should begin and end the class day in the possession of the zone manager. The zone manager will visually check that all computers are in the assigned cart and none are missing (unless missing due to repair notification). Any missing computers will be tracked and found immediately. The zone manager will visually check that chargers are plugged into computers; plug carts to power; ensure cart power switch is on; and lock cart doors. It is estimated that end-of-day activities will consume 3 to 4 minutes to complete.

Zone Changes. The zone manager will be responsible for notifying CMCSS Tech of any changes to the teachers assigned to a zone. The zone manager will submit a tech work order with the changes required. The responsible tech team will accomplish the changes which impacts teacher listings on the computerized sign-out scheduling system.
Lab Storage: To promote use and ease transport issues, mobile labs, not in use, will be stored within or as close as possible to its assigned zone manager classroom. Storage factors depend on space and recharging power need requirements. Lab Cart doors will be locked at the end of each day.

Teachers

Teachers are assigned to the zone which best matches their location / classroom / subject. Any teacher in that zone may reserve their mobile lab. The calendar is active for 30 days hence to prevent an individual from monopolizing the resource. If your zone's lab is in use you have the ability to view other zones nearby to ascertain whether their resource is available. Before you sign up online for a lab outside your zone have the courtesy to check with that lab's zone manager. We want to see the resources used and used often. To see a lab sitting idle when another teacher could/wants to use it is a waste. That said, we are working toward as much parity as can be achieved given our resources.

As a classroom teacher you have responsibilities as well which include:

  • Reserve a mobile/fixed lab for the date and time you need it. Please only reserve it for the time when it will be in use. If for example, you needed a lab only 1st and 2nd periods for 3 days then there are 4-5 other periods of each of those days when a lab might be in use. Do not schedule a whole day when you only need it for a designated amount of time.

  • This is HUGE, and it takes a big responsibility/time factor off the teacher and places it on the Network Techs. Do your part in assisting them in helping you keep your labs up and running!!
  • Classroom management is a MUST - assign computers/computer number to your students by roll. Ex. Charles Abernathy - computer 01, Jacob Binkley - computer 02 etc. Of course there will be substitutions as computers are out for repair, but this will go a long way towards accountability and holding the party responsible for using technology correctly.
  • Take time at the beginning of the year to teach your students how to appropriately retrieve laptops from the computer carts, start up programs correctly, save to the student server or turn in work electronically, shutdown computers at the end of class, and correctly return to the cart to recharge for next use.
